How do I find a product?

You can find products quickly by browsing through our Product menu. You can also search for any product you'd like more information about. Just enter your search word or phrase in the box at the top of each page. Click the "Search" button. You will be taken to the search results page where you can review the results. You can modify your search criteria to change the search or to make the results show in a different order.

What if I can't find what I am looking for?

If you don't see a product you're looking for, let us know (at ). We will do our best to track it down for you. If there is a service you'd like to see on our Web site, we'd like to hear about that, too. The more we know, the more we can do for you.

How do I know if a product is available?

The availability of each product is listed with the detailed product description and updated daily, if the product is not available the message "Sorry, this item is out of stock..." will be displayed. If the product is currently in stock and available for shipping, you will have access to the "Please Add" field. Fulfillment times vary. When your order is placed, we'll let you know how long it should take to get to you. When the backordered item arrives in stock and more than 48 hours has elapsed since you placed your order, we will send an email confirming your order with you before shipping it out.

How do I place an order?

TranscriptionGear.Com's purchase process is secure and simple. Just follow these easy steps:

  1. Click on the product you want to buy. Choose the quantity that you would like to order Click on the "Add to Cart" button.
  2. Your item selection will be added to your order and you may continue shopping. If you wish to check your order, select the "Your Cart" link at the top of the page. You'll proceed to a summary screen that shows you what's on your order. Here, you can: Remove items by clicking on "Remove". You can continue shopping by clicking on the "Continue Shopping" button. Make your purchase by clicking on "Checkout" button. Update the quantity you'd like to buy by entering a new quantity and clicking on "Update"
  3. When you're finished shopping and have clicked on "Checkout": You'll be prompted to create an account or log-in as a TranscriptionGear.Com Member. This is a secure site where you will enter shipping, billing and personal preference information. For added security, credit cards presented for ordering will be screened thoroughly. When the "Bill To" and "Ship To" addresses are the same, the Bill To information must be on file with the issuing bank. When the "Bill To" and "Ship To" addresses are different, both addresses must be on file with the issuing bank. Will I be taxed on my purchases?

The tax that is charged on your order is based on your "ship to address". All orders shipped to addresses in states other than Ohio are not charged sales tax. It is the responsibility of the purchaser to pay the sales tax in their state of residence. Orders shipped within Ohio are charged sales tax - based on your counties tax rate. If you have specific questions, please contact your State taxation office.

When will my order be processed?

TranscriptionGear.Com uses an extremely efficient processing system. Your order will be processed almost immediately once your credit card has been verified. Please review your order for accuracy before placing it. PLEASE NOTE: EACH CREDIT CARD WILL PASS THROUGH A SECURITY VERIFICATION. We require that the correct "Bill To" and "Ship To" addresses for each order be on file with the bank issuing the credit card selected for the order.

Can I change an order that has already been submitted?

Due to the speed at which orders are processed, it is very unlikely that we will be able to change any aspect of your order once it has been electronically transmitted to the warehouse. We can only ensure a cancellation or change if the item/s are on backorder. An order in process MAY POSSIBLY be stopped if you contact us at within 30 minutes of placing your order and 60 minutes prior to the 3 p.m. Eastern cutoff time for orders. We will make every effort to stop the order, but can't guarantee that we will be successful. If we are unable to cancel an order, you have two options: you can refuse delivery, or you can return the item(s) under our "Satisfaction Guaranteed" policy. How do I get a final paid invoice (receipt) for a purchase?

While we ship all orders with a packing slip that describes the contents of the shipment, this is not your final invoice. Your final paid invoice (receipt) will be emailed to you shortly after the completion of the order processing. Be sure to save your receipt as it contains information needed for warranty claims as well as returns is necessary.

In conjunction with GeoTrust (www.geotrust.com), TranscriptionGear.Com uses encryption to protect information entered -- some of the most powerful encryption available today. Will you guarantee my information is safe?

If using your credit card at TranscriptionGear.Com results in subsequent unauthorized use of your card, we'll cover your liability up to $100. Here are the details: The unauthorized use must have resulted from giving your credit card information to TranscriptionGear.Com - not though any fault of your own. Our guarantee applies only if your credit card information was given to us over the TranscriptionGear.Com secure server. If you discover unauthorized use of your credit card, you must notify TranscriptionGear.Com of the problem in writing (by email or letter) within 24 hours of discovery. You must also notify your credit card provider in accordance with its reporting rules and procedures. We limit our Security Guarantee to $100 because your credit card provider will likely will either cover the unauthorized charges altogether, or limit your liability to $50 or less. Shipping and Delivery

When do I have to place my order to have it shipped that day?

Valid orders placed before 3 PM EST are generally shipped the same day. Valid orders placed after 3 PM EST are generally shipped the next business day. Valid orders placed on Friday, after 3 PM EST are generally shipped on Monday. Valid orders placed during weekends and holidays will be processed and shipped on the next normal business day.

What are my shipping options?

We offer most shipping options offered through United Parcel Service (UPS) to meet your shipping needs: We are unable to ship to APO Addresses, PO Boxes or Rural Route addresses. Please provide physical shipping address only. Standard: 1-10 Business Days (UPS Ground) Delivery in the continental U.S. usually arrive within six business days, Monday-Friday, by 7:00 p.m. Delivery times to Alaska and Hawaii may vary.

How are my shipping costs calculated?

Shipping fees are charged on package size and weight as laid out by United Parcel Service (UPS). Total shipping fees will be calculated by adding the shipping weight for each individual item. Your "Order" Screen will display the shipping cost before you complete the transaction so you can view and accept them. There are no surprises with our shipping costs.

Anything Shipped Overnight

We ship over 90% of our orders the same day they are received. If you place your order before 3 PM EST, all in-stock products will ship out to you same day. If you would like your package tomorrow, select NDA (Next Day Air) Delivery at checkout. NDA service is only available on weekdays. All NDA Orders place on Friday before shipping cut off will be delivered Monday AM.

Saturday Delivery

Delivery via UPS on Saturday is available but only when your order is placed over the phone on the Friday before. When calling, you must specify NDA (Next Day Air) Saturday Delivery. The order must be placed before our 3PM EST shipping cut off time. We're sorry, delivery on Sundays are not possible.

Can I have an order delivered on a weekend?

TranscriptionGear.Com does not currently provide for Saturday or Sunday deliveries. If there is an emergency, contact customer service and we will work with you. Please Note: (additional fees and charges may apply).

What are your holiday shipping schedules?

TranscriptionGear.Com uses United Parcel Service (UPS) for delivery of items purchased direct or on our web site. UPS has set aside the following days where there will be no pickup of packages from our warehouse. You are advised to take these blackout days into consideration when deciding your shipping needs.

  • Memorial Day (observed last Monday in May)
  • July Fourth when it falls on a weekday
  • Labor Day (observed first Monday in September)
  • Thanksgiving Day and the Friday After
  • Christmas Eve (Dec 24th) and Christmas Day (Dec 25th)
  • New Years Eve (Dec 31st)
  • New Years Day (Jan1st)

Where will my order ship from?

TranscriptionGear.Com's warehouse is located in Concord, Ohio. All shipments are sent from this location with the exception of some direct-ship orders that may be shipped from a suppliers location. TranscriptionGear.Com ships orders worldwide with few exceptions. If you want to verify that we can ship to your destination contact us by email for a quick answer.

Can I track my order?

When your order is shipped, the shipping company will assign it a tracking number. For details on when an order will ship, see the section - When do I have to place my order to have it shipped that day? Your Sales receipt that is sent at the completion of your order contains instructions for tracking your order. To track your order, make sure you have your order number and choose from the "?" (question) from the top navigation and select: My Order Status.

What do I do if my order is late?

If the expected delivery time listed with your choice of shipping has expired, and tracking information does not help, please contact us immediately at . Your order may be late because no one was available to accept delivery. If you are not present when a delivery is attempted, the carrier will make a second attempt, and often a third. If delivery is still not made, the shipment will be returned to our warehouse. You must report to us any undelivered order within 25 days of the date you placed the order.

What if my package is damaged when it is delivered?

If your package arrives damaged, you may refuse delivery at no cost to you. Be sure to notify the delivery person and request a damage report form. If time allows, open the package in the presence of the delivery person. If the damage is discovered after the delivery person has left, save all packaging materials and notify the carrier immediately. After filling the claim with the delivery carrier contact us at so we can correct the situation as soon as possible.

Returns Policies and Procedures

Your Satisfaction is Guaranteed

All products sold by TranscriptionGear.Com are covered by a 30 day Satisfaction Guarantee. If a product you purchase is defective or not what you expected it to be contact us and we will exchange it or give you a refund. The only exception is software - opened software cannot be returned - open software can only be replaced with the same product. No credits can be issued for opened software.

We ask that you please:

  • Keep all original packaging as you received it for at least 30 days.
  • Keep all products in new condition.
  • Do not remove UPC codes. Boxes without UPC codes will be rejected.

Products, whether defective or not, must be returned in the manufacturer's original packaging also the carton must include all components and other items originally packaged with the product: cables, software, manuals, registration and warranty cards etc. Linked promotional items must also be included. Do not write or mark the packaging, contents or registration warranty cards.

How do I return items I am not satisfied with?

  • You will be responsible for paying the shipping costs to return the product
  • A Service Representative will contact you with a return authorization number, and specific instructions to follow.

What if the product is defective?

We understand how frustrating it is to receive a defective product. We are here to help when such a problem arises. All products sold by TranscriptionGear.Com are covered by the full manufacturer's warranty. Our goal is to correct the situation as quickly as possible. If you notify us of the defect within the first 30 days, we will take care of the entire situation directly and cover the cost of shipping back the defective product. We will issue a call tag for the defective product and as soon as the product is received at our RMA center we will ship out the replacement.

If you discover the defect after you have had the product more than 30 days, we will do our best to handle the situation ourselves. However, some manufacturers require defective products be returned directly to them after 30 days. We will do our best to make this process as simple as possible. After 30 days, no returns for credit will be accepted. Remember, all returns must be accompanied by the RMA information. Be sure to include your order number and other information. Open software can only be replaced with the same product. No credits will be issued for open software at any time.


Product Warranty Information

What if there is a discrepancy with the order?

If you find any discrepancies with your order, please email us right away. Under the 30 day satisfaction guarantee, TranscriptionGear.Com will ship the correct product to you, and pick up the tab for the return of the original product.

Can I just send it back without contacting you?

No. We are here to help, but we cannot correct a situation we know nothing about. Please get a return authorization number from us first. Therefore, products returned without authorization will be rejected, and shipped back to you at your expense.

What else do I need to know about returning items?

Please be sure to do the following:

  • Ensure that the authorization number is clearly marked on the shipping box but not on the product box unless they are one in the same.
  • Ship the product back in the same type of box that it was originally shipped in.
  • Products, whether defective or not, must be returned in the manufacturer's original packaging and the carton must include all components and other items originally packaged with the product: cables, software, manuals, registration and warranty cards etc.
  • Linked promotional items must also be included.
  • Do not write or mark the packaging, contents or registration warranty cards.
  • Only products that are in new condition will be accepted for return. Incomplete shipments will be returned.
  • If you have forgotten a part, notify us immediately.

Manufacturer's Warranty

Most of the products we sell come with a Manufacture's Warranty that is provided by the company that makes the product. After the initial Thirty day period, should you have a problem with a product you purchased through TranscriptionGear.Com, contact so that we may assist you in getting your product repaired or replaced. It is important that you have the sales information if you have a problem. Be sure to keep your warranty information in a safe place along with your sales receipt. If the product has a warranty card in the packaging, be sure to complete the card and mail it in.

Philips

All of their digital products including the 9750, 9600, 9610, 9500, 9370, 9850, and the SpeechMikes have a 1-year manufacturer warranty on parts and labor from the date of purchase. If the product cannot be fixed, they will replace it at no charge.

Olympus

The DS series has a 1-year manufacturer warranty on parts and labor from the date of purchase. If the unit cannot be fixed, it will be replaced.

Sony

These products have a 90-day manufacturer warranty on labor and parts from the date of purchase. They also have 1-year on parts only from the date of purchase.

Dictaphone

These units have a 90-day manufacturer warranty on parts and labor from the date of purchase.

Foot Controls

These units have a manufacturer warranty of 90-days on parts and labor from the date of purchase.

Headsets

These units have a manufacturer warranty of 90-days on parts and labor from the date of purchase.
