GearPlayer™ PC Transcription Software

Download The GearPlayer Demo

Overview

GearPlayer version 3 from TranscriptionGear.Com is the most advanced PC based transcriber you can buy. Using GearPlayer to transcribe your digital files, you position yourself to be able to transcribe the widest selection of file formats.

Mobile Licensing Technology – exclusive to TranscriptionGear.Com, GearPlayer includes a HASP key which is a USB plug that inserts directly into one of your computer’s existing USB ports. This can ensure that only authorized users have access to the software. During the development process, our staff discovered that our clients could not only benefit from the HASP keys added security that HIPAA is now enforcing, but this also enables users to move the software from their office desktop computer to their laptop when traveling, with only one software license. What does this mean for you? Freedom! Privacy! and Simplicity!

NOTE: You will need a full time USB port available for the HASP plus an additional port if you will be using a USB foot control. If you are using other USB devices such as a printer or USB mouse you will need to provide a port for each of them as well.

Need more USB ports? We have an affordable 4 Port USB Hub available that will add 4 USB ports to your system.

Volume and Speed Controls – are accessed easily from mouse or keyboard shortcuts along with adjustable Rewind/Fast Forward and selectable Auto-Back Space give you full control of your voice files.

24 customizable keyboard short cuts – “hot keys” allow for quick and easy control of the audio file from the keyboard. Includes; bookmark, end, fast forward, pause, play, speed up, speed down, volume down, volume up and many more.

Hands-free Design – GearPlayer is bundled with your choice of a USB or Serial three function foot control for traditional hands-free operation.

Bookmark – enables users to mark where in the audio file they have stopped or need to take special note. Users can also remove the bookmark when finished.

Advanced Worklist Window – includes the Current File List, Transcribed File List and Archived File List windows. The Current File List displays new jobs and work in progress. Once the files are completed, they automatically move to the Transcribed File List, then the Archived File List so you have your most current transcribe files on-hand.

The Worklist displays detailed information on the audio file. At a single glance you can view the File Name, File Size, Creation Date and Time, Author ID, Author Name, Subject ID, Department, Location, Account Number, Priority, File Type, Barcode and Text Note. You may also print this information to keep in client folders.

Audio Notes – when using a digital handheld recorder or GearDictate to create an audio note, the audio file and audio note are merged into one file ensuring all audio is ready for transcription.

Automatic File Movement – allows you to Auto-select dictation files from designated directory and Auto-move files to selectable directory once typed. Automatically moves typed document to a designated location on your PC or network.

Session Reports – this easy and resourceful feature automatically generates a report that displays the details of all completed transcribed documents in a snap.

FREE Service Packs – download your free service pack anytime for the latest product improvements.

If your needs include secure 128-bit file encryption, our GearXport™ File Transfer Utility offers secure transmission over your network or on the Internet without the involvement of a third party.

How It Works

GearPlayer and Your Email

GearPlayer works with your Email service by having the digital audio files transferred to your PC by Email. Using Drag-n-Drop you can move the digital audio file directly into GearPlayer and you are ready to transcribe. Files from most any digital source can be sent to you using the convenience of Email. New in GearPlayer is the ability to use encryption with your digital audio files using any of the supported GearTools™ like GearXport. GearPlayer uses a 'key' file to unencrypt the audio file. This gives the users of GearTools security for sensitive work without the involvement of a third party.

GearPlayer and Your FTP Site

GearPlayer's Transport Daemon can be configured to automatically monitor up to five Internet FTP server directories and transfer the digital audio files to your PC in the background while you are typing. When using GearPlayer and GearXport your files can be encrypted for security. With GearPlayer's Auto Directory Play function these files can be loaded for playback with a key press or touch of a button. When configured the Transport Daemon can automatically start downloading files when GearPlayer is started.

GearPlayer and Your Network

GearPlayer works across your network to open and play digital audio files on any computer on your LAN or WAN. This includes dictations created on dedicated dictation computers files from a source like the GearDictate, even files that have been recorded with most any portable digital recorder and uploaded to a computer on your network. It gives you the power to turn your existing network into a complete dictation/transcription solution.

Compatible File Formats

GearPlayer will decode and play any file format that has an installed Windows CODEC and informational header. So what does this mean to the average user? It will play files with WAV, MP3, or WMA headers attached to it. It will even play and decode some files that do not.

GearPlayer will check any file that is loaded to see if it can play the file. If it is possible for GearPlayer to play, it will give you the file length in the information window. If not, it will tell you it is an invalid file format.

GearPlayer can not play proprietary formats that do not have any type of headers or file information. An example of a proprietary format is a straight PCM data file without a WAV header.

Below is a list of file formats supported under a standard install:

Note: The .wma formats may not provide the best user experience as related to transcription. Due to the nature of these formats, combined with certain hardware and software, the user may experience intermittent playback issues.  We do not recommend using the .wma format for audio files that will be transcribed where the user will be rewinding, fast forwarding and/or playing/pausing the audio.

  · ACELP.net
  · CCITT a-law and u-law
  · DSPGroup Truespeech ™
  · GSM6.10
  · Microsoft IMA ADPCM®
  · MPEG Layer III
  · PCM (All formats)
  · Voxware Formats (Metasound, Metavoice, and streaming formats)
  · Windows Media Audio v1 & v2 (.wma and .asf) ** See note above
  · Any non-proprietary format that links to the Windows Audio Compression Manager for Playback
  · Non-Wave and Proprietary Formats w/Demographics
  · Voice IT Recorder SRI Format Files (Firmware Revision 66 and above)
  · UHER Portable Recorders

  · Digital Voice VoiceWave ™ Files
  · PCDart/BCB "Wave" Format files
  · Philips Speech Mike (Executive Dictate) - All standard wave formats. Does not support native Philips Formats.

Some supplied CODECs only allow recording but not playback without special licensing. All formats depend on required CODECs being installed on your computer and valid decompression header information contained within the file.

CODECs and information on these file formats are available at www.microsoft.com or the manufacturer of the device the file(s) were generated on
