  • Ease Of Use:
    "Rules" and "Monitor" based configuration system for ease of setup and maintenance. This allows massive flexibility in designing custom scenarios for transferring files from one location to another.
  • Hand Held Recorders:
    GearXport works with many different hand held recorders such as the Olympus DS3000, DS4000 UHER DH-10, Voice IT 3200 and many others. Simply plug the hand held into your computer and let GearXport do the work for you.
  • Rules Wizard:
    GearXport makes securely transferring files simple with the GearXport Rules Wizard. The Rules Wizard guides you step by step through setting up and configuring your secure transfers.
  • Pattern Matching:
    GearXport can move files based on internal details or on file names. Some of the internal details it can match are Author ID, Author Name, Work Type, and Department. Example you could send all of one authors work to one transcriptionist and all of another authors work to another transcriptionist.
  • Error Handling:
    Full logging of all transfers and customizable error handling/notification options are built in to ensure your files are not lost during the transfer process.
  • Archiving:
    GearXport also offers an option to keep a backup of all your work that gets sent out, so you will never have to worry about lost data.

    GearXport can move files from one folder to another across networks.
  • Email:
    GearXport can use MAPI (Messaging Application Programming Interface) email clients such as Microsoft Outlook ™ or Eudora Pro ™ to Send files via Email. GearXport also supports the SMTP (Simple Mail Transport Protocol) to directly connect to mail servers without additional software.
  • FTP:
    FTP (File Transport Protocol) is supported for file and document transfers to a wide base of installed FTP sites on the Internet.
  • Secure Transfers:
    GearXport to GearXport, GearXport to GearPlayer, GearXport from GearDictate, 128 bit Secure Encrypted Transfer protocols are built in. Features include secure key exchange, direct connections, and extremely fast transfer times.
  • File Converting:
    GearXport can convert Olympus DSS files and SRI files to Wav format so they can easily be used by your transcription software. GearXport can also Zip and unzip your files so they are smaller and take less time to transfer.
  • Demographics file:
    GearXport can create a demographics file that will give valuable information about the sound file such as Author ID, Department, Work Type and other such information.


Please note that the DS300, DS3300 and DS4000 require the Olympus Drivers to be installed for GearXport’s automatic offload. This CD with these drivers on it will come with your Olympus handheld.

GearXport will NOT work with the AOL Email client. You may wish to consider another Internet mail service for your business and professional file transfers. Better yet, why not choose FTP (File Transfer Protocol), it's faster and more secure than email, and priced about the same as many premium email services. GearXport Personal also offers the option to read card readers and removable media over a local area or wide area network.

Is GearXport H.I.P.A.A. compliant?
Actually, hardware and software cannot be "HIPAA Compliant" since the term "compliant" applies to the entire process of handling patient information. GearXport however is an important tool you can use to ensure that your operation is compliant as it provides levels of security that far exceeds the minimums outlined in the Act. How long does GearXport take to move files around?
GearXport is constantly monitoring the user-defined directory(s) whether it be on the local pc or an ftp site over the internet. (Note: this requires an Internet connection.) The software is only limited by the power of the PC and the type of Internet connection available for the transfers.

If I am having a problem with my GearXport, who do I contact?

How can GearXport assist me in returning work to my supervisor or clients?
GearXport can do much more than simply offload your digital handheld or transfer files from your dictation software such as Gear Dictate. You can monitor a directory that will return your finished type documents back to the original sender or to a different location via ftp, LAN (Local Area Network) or email.

Is there a Mac compatible GearXport?
Sorry, at the current time, GearXport is designed only to run with Microsoft Windows 98, 2000, ME Windows XP or NT 4.0 based systems.

What is FTP?
FTP or File Transfer Protocol, is a method of transferring files from one place to another. An FTP site is a location where you can purchase server space for your transfers. GearXport can securely transfer files to and from ftp sites.

If you would like to transfer all files from author # 2222 to Transcriptionist #4, this can simply and easily be accomplished by setting up a rule using our rule wizard.

Another Example,

Lets say you would like all files that had an “H” in the name sent to Transcriptionist #1 and all the files with a “B” in it sent to transcriptionist #2.

How do I know when GearXport is finished transferring files?
You don’t! GearXport was designed to run in the background of your computer so its never a distraction. GearXport generates a log file to tell you when and where all your files were sent so you can rest assured all the files were sent.

Service Packs (This is not an upgrade but a service pack or patch only)

Update your GearXport to the latest released version. Make sure that you download the correct service pack version for your GearXport. Carefully choose the correct update download below. Installing the incorrect version will cause your GearXport to not run. If you have any question about which version to download please contact Customer Service at 1 (888) 834-2392

  • Service Pack for Version 3.3 of GearXport
    This service pack should be used on version 3.2 or above. Do not download and install this service pack on your computer if you are running GearXport version 3.1.xx or older software.

  • Service Pack for Version 3.1.xx of GearXport
    Do not download and install this service pack on your computer if you are running 3.2 or newer software. This is a feature and bug fix only not an upgrade.

What version are you currently using?

Implementing the GearXport Service Pack is very simple; please follow the steps as outlined below:

  1. Download the GearXport Service Pack file. Save this file to a temporary location. This will copy a self extracting file to your computer called GX32.exe or GX31XXR.exe from the site. (XX is the minor version number such as 01). Write down this location for step 6.

  2. Click on the Start Menu and Go to Settings and then select Control Panel. When the control opens double click on the Add/Remove Programs Icon.

  3. Find GearXport in the list and select it, clicking the add/remove button.

  4. A window will be displayed asking if you wish to Repair or Remove GearXport. Click on the Remove Window, and then click the OK button.

  5. Click the Finish button when the installer is finished.

  6. Open the temporary folder where you downloaded the GearXport Service Pack file. Double Click on the GX32.exe or GX31XXR.exe and follow the installer prompts through the installation. There is a small note at the end saying that you may need to register GearXport, if you have already registered you may ignore it.

Start GearXport from the start menu. Be sure to read through the help file for more information on the changes or you may contact a technician with any questions you may have at (888) 834-2392 option 2
